Learn About the On Track Lead Pipeline Stages

You'll rely on the On Track Lead Pipeline to track Deals from the time they enter HubSpot Plus+ to when they are closed. This pipeline will give us full visibility into the status of every opportunity, enabling us to make better-informed decisions. Here's an overview of the pipeline stages and criteria for moving Deals forward.

Use the On Track Lead Pipeline stage definitions below to guide you when adding deals to HubSpot Plus+. This will ensure we have an accurate view of your pipeline.

New - A deal that has been created in HubSpot Plus+ but has not yet had any outreach or engagement with the prospect.

Connecting - Outreach is in progress, and the leasing team is actively trying to connect with the prospect to initiate a conversation.

Connected - A conversation has been established, and the prospect has confirmed their interest in exploring leasing opportunities.

Tour Scheduled - A studio tour has been officially scheduled with the prospect. 

Tour Completed - The prospect has completed the studio tour and is evaluating their options.

Waitlist - The prospect is interested in leasing but no studios are currently available, or they are waiting for a specific studio to open.

Closed Leased! - The prospect has signed a lease agreement and officially secured a studio.

Closed/Nurture - The deal did not result in a lease, but the prospect remains a potential future lead for opportunities.

Keeping deals moving through the pipeline is key to closing them on time. Use the criteria below to ensure smooth progression between each stage. 

Criteria to Move from New to Connecting

  • Initial outreach attempt has been made (email, call, or message). Note: This moves to 'Connecting' when using automations.

Criteria to Move from Connecting to Connected

  • The prospect responds to outreach and expresses interest in learning more. 
  • A meaningful two-way conversation has begun (e.g., questions, scheduling interest, or next steps).

Criteria to Move from Connected to Tour Scheduled

  • The prospect agrees to schedule a tour of the available studio(s).
  • A tour date has been proposed or tentatively set.

Criteria to Move from Tour Scheduled to Tour Completed

  • The prospect completes the tour as planned. 
  • If rescheduled, the tour remains in Tour Scheduled until completed.

Criteria to Move from Tour Completed into Closed Leased! or Closed/Nurture

  • The prospect expresses strong interest and requests next steps (e.g., lease terms, availability, or paperwork).
  • If undecided, further follow-up actions are documented.

Criteria to Move a Deal Out of Waitlist

  • A studio becomes available, and the prospect is notified. 
  • The prospect decides to proceed with leasing or withdraws from the waitlist.

Criteria to Enter Closed Leased!

  • The lease agreement is signed and finalized.
  • All required paperwork and deposits have been completed.

Criteria to Enter Closed/Nurture

  • The prospect has declined or postponed leasing for now.
  • Leasing team determines there is future potential and will maintain ongoing communication for re-engagement (e.g., newsletters, check-ins).

Move a Deal to Closed/Nurture and let the Nurture Pipeline do the work - automated win-back campaigns will re-engage leads so they can reconnect when the time is right.

This allows you to focus on the Deals you can close now, while the Nurture Pipeline keeps closed leads warm in the background.

There has been a global change to adding Deals to the Nurture Pipeline. A dropdown for Add to Nurture Pipeline will now be available for all Closed/Nurture reasons.
 

FAQ

Pipeline stages represent each step in your sales process, helping you understand where each lead is and what action is needed next.

In your HubSpot account, navigate to settings (top right), then notifications (left sidebar). You can customize what notifications and how you receive them. 

The best practice when a Contact is considering multiple locations is to create a separate Deal for each location.

Once the Contact signs a lease, any remaining Deals should be moved to Closed/Nurture, but not placed into the Nurture Pipeline.

 

Yes, some automations will be happening behind the scenes, sending emails to your Pros. Below is a PDF where you can view the cadence to the automated messages and the messaging that will be sent out.

SMS messages sent through the SalesMSG app are logged in your CRM, so you have a complete record of all communication.

Yes! New deals are automatically enrolled in drip campaigns for emails and SMS. Users will automatically be unenrolled when: 

  • The Pro responds through text, call, or email.
  • The deal stage is moved to "Connected" in HubSpot.

Note: Outbound calls do not trigger unenrollment.

The team has worked hard to make these automated messages generic. Below is a PDF of the cadence of the automated messages along with the messaging that will be sent.

Yes, our mobile and SMS tools meet security standards to ensure your communications are safe and compliant.

There are a few limitations with SalesMsg in general and on mobile including: 

  • HubSpot contact links are not available in SalesMsg mobile (coming soon in a March update).
  • Users cannot reopen closed conversations without sending a new message on mobile.
  • Calls and messages are mixed in the conversation feed.

If a Contact is missing information in SalesMsg, you’ll need to update their record in HubSpot and ensure the correct properties are also reflected in SalesMsg.
